Set the cancellation window
The cancellation window is one value for the whole studio: the number of minutes before a class starts up to which a customer may still leave the class in the customer panel. After that moment the entry is used up and the customer cannot get it back on their own.
- In the office panel go to Settings → Configuration, the Schedule section.
- In Time to cancel a reservation (minutes) enter the number of minutes.
- Click Save. The change takes effect straight away — nothing needs restarting.
A value of 0 means the customer may cancel right up until the class starts. A new studio starts at 60 minutes.
The setting constrains customers only. A receptionist removes a customer’s booking from the attendance list regardless of it — see Check the attendance list.
The same window decides how long free-space notifications go out to the waiting list: when a spot is released after the cancellation window has passed, nobody on the list is told — see Join the waiting list.
For an online class with a streaming link the earlier of the two deadlines applies: the cancellation window or the moment the link becomes visible.
When a class has automatic cancellation switched on, the cancellation deadline is never later than the moment the system decides. If it decides 300 minutes before the start while the cancellation window is 60 minutes, customers may only cancel up to 300 minutes before the start — after that decision the attendance can no longer drop.
