Invoices and confirmations outside Poland

If your studio operates outside Poland, Systemate prints no receipts and issues no invoices. Stripe handles online payments, and you issue the invoice for a customer who needs one yourself — in the Stripe dashboard or in your accounting software.

  • After paying for a pass, the customer receives a payment confirmation e-mail from Stripe. This confirmation is not an invoice.
  • For subscriptions, Stripe issues and e-mails an invoice automatically on every charge. Such a request appears in the Invoice requests queue with the status Issued (Stripe) and a View invoice link.

In the customer panel purchase dialog the pass buy button reads Proceed to payment, and below it the customer sees a note that the payment confirmation comes from Stripe and the studio issues the invoice for the data provided.

  1. In the office panel open Invoice requests. Above the list you see a note that Systemate does not issue invoices on this instance.
  2. Open the request with Details. The buyer data include Buyer, VAT number and Address, together with the invoiced items.
  3. Issue the invoice for these data in the Stripe dashboard or in your accounting software.
  4. Return to the request details, enter the issued invoice’s number in the Invoice number field (the field is optional) and click Mark as issued.
  5. The request leaves the queue. With Show already processed ticked you see it with the status Issued (manually) and the number you entered.

Invoices and confirmations from Stripe show the company data stored in your Stripe account. Fill in your company name, address and VAT number in the Stripe account settings (business details and the invoice settings under billing) before you start selling online.
